Membership Terms & Fair Use Policy
Version 1.0 | Last updated: 29 October 2026
1. Welcome to Stroke Play Golf
Stroke Play Golf is an inclusive community initiative founded by Andrew Biggs and Mark Eadle.
Our mission is to help adults affected by stroke, disability and serious health challenges reconnect with golf, rebuild confidence, improve wellbeing and enjoy being part of a supportive community.
We believe that golf is about far more than competition. It offers opportunities for friendship, conversation, fresh air, shared experiences and renewed confidence.
This isn't about competition. It's about community.
These Terms & Conditions incorporate our Fair Use Policy and explain the expectations, responsibilities and arrangements associated with SPG365 membership.
By applying for membership and agreeing to these terms, applicants acknowledge the conditions set out below.
2. Membership Eligibility
SPG365 membership is intended for adults aged 18 and over who wish to participate in or support the Stroke Play Golf community.
Membership is open to people with different golfing abilities and levels of experience, including those returning to golf following illness or disability and those discovering the game for the first time.
All membership applications are subject to review and acceptance by Stroke Play Golf.
Applicants must provide accurate contact information and notify us if their details change.
Stroke Play Golf is committed to treating applicants fairly and will not discriminate unlawfully on the grounds of disability or any other protected characteristic.
3. Membership Numbers and Personal Use
Each accepted member will be allocated a unique SPG365 membership number.
Membership numbers and associated benefits are personal and non-transferable.
Members must not:
- Share, lend, sell or transfer their membership number to another person.
- Allow another person to use their membership to obtain discounted golf, subsidised activities or other benefits.
- Book activities under another member's identity.
- Misrepresent their identity or eligibility to obtain membership benefits.
Family members, carers and support workers may assist members with registrations, communications and bookings, with the member's permission.
This assistance is welcomed and does not constitute improper account sharing.
Membership numbers remain associated with the original membership record and do not guarantee that membership numbers will always be consecutive.
4. Fair Use Policy
Stroke Play Golf aims to provide fair and accessible opportunities for as many members as possible.
Many of our activities may depend upon the generosity of golf clubs, sponsors, volunteers, donors and other supporters.
To protect these opportunities, all members are expected to act responsibly and considerately.
Our Fair Use Policy requires members to:
- Only book events they genuinely intend to attend.
- Avoid reserving unnecessary or duplicate places.
- Cancel bookings as early as reasonably possible when unable to attend.
- Respect waiting lists and any booking limits.
- Use discounted or subsidised benefits only for their intended purpose.
- Follow reasonable instructions from event organisers and participating golf clubs.
- Consider the needs and opportunities of fellow members.
Where demand exceeds availability, Stroke Play Golf may introduce reasonable booking limits, waiting lists or fair allocation arrangements.
We recognise that health conditions can be unpredictable. Members will not be unfairly penalised for cancellations or changes in attendance arising from illness, disability, fatigue or other genuine circumstances.
5. Golf Buggies and Accessibility
We recognise that golf buggies are essential for some people to participate in golf.
For individuals recovering from stroke or managing disabilities, a buggy may be the difference between being able to participate and being excluded.
Stroke Play Golf will work with participating golf clubs to improve accessibility and reduce barriers wherever reasonably possible.
Where buggy availability is limited, allocation will take appropriate account of individual accessibility requirements.
Members using golf buggies must:
- Follow the host golf club's buggy safety rules.
- Operate buggies responsibly.
- Observe designated routes and restrictions.
- Report any damage, faults or safety concerns promptly.
Buggy availability will depend on the facilities, operating conditions and resources at each venue.
We will consider reasonable adjustments and alternative arrangements where required and practicable.
Members are encouraged to contact us in advance if they have accessibility requirements or would benefit from additional support.
6. Events, Bookings and Attendance
Stroke Play Golf aims to organise welcoming golf and social activities, including community golf days, accessible coaching opportunities and informal gatherings.
Membership does not automatically guarantee attendance at every event.
Event places may be limited and could be subject to availability, eligibility requirements, booking deadlines or venue restrictions.
Members should book using the official booking arrangements and provide accurate information.
Participation is intended to be relaxed and inclusive.
Members are welcome to participate at a level that feels appropriate to them, whether that means playing eighteen holes, nine holes, practising golf or simply enjoying the social experience.
There is no expectation that every member must compete, keep score or play a full round.
7. Event Fees, Cancellations and Refunds
Stroke Play Golf aims to make participation as affordable as possible.
Some events may involve charges for green fees, buggy hire, refreshments, coaching or other services.
All applicable charges and material booking conditions will be communicated before a member confirms a paid booking.
Members who need to cancel should contact Stroke Play Golf as soon as reasonably possible.
We understand that unexpected illness, changes in health, medical appointments and accessibility difficulties may affect attendance. Such circumstances will be considered sensitively.
Any cancellation charges must be reasonable and consistent with the terms clearly communicated at booking and applicable consumer law.
If Stroke Play Golf cancels an event or makes a material change, affected participants will be informed as promptly as reasonably possible and offered appropriate options, including a refund where required.
Nothing in these terms affects members' statutory consumer rights.
8. Behaviour and Respect for Others
Stroke Play Golf is built upon friendship, inclusion, understanding and mutual respect.
Members, guests and volunteers are expected to:
- Treat one another with dignity, kindness and courtesy.
- Respect different abilities, experiences and recovery journeys.
- Avoid bullying, harassment, discrimination or threatening behaviour.
- Respect personal boundaries and confidentiality.
- Follow reasonable safety instructions at events.
- Treat golf club staff, volunteers and other participants respectfully.
- Help create a welcoming environment for everyone.
Abusive, discriminatory, intimidating or deliberately disruptive behaviour will not be accepted.
Stroke Play Golf may take appropriate action where behaviour places others at risk or seriously undermines the community.
9. Health, Safety and Personal Responsibility
Stroke Play Golf encourages suitable physical activity, social interaction and enjoyment of the outdoors.
However, Stroke Play Golf does not provide medical treatment or clinical rehabilitation services.
Members are responsible for choosing activities suited to their personal circumstances and may seek appropriate medical advice where needed.
Members should not feel pressured to participate beyond their comfort or ability.
We encourage members to communicate any relevant accessibility or practical support requirements that may help us organise their participation safely.
Golf and outdoor activities involve inherent risks, including uneven ground, weather conditions and moving equipment.
Members must follow reasonable safety instructions and the relevant rules of participating venues.
Stroke Play Golf will take reasonable care in organising its activities.
Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud or any other liability that cannot lawfully be excluded or restricted.
10. Membership Benefits
SPG365 membership may provide opportunities to access:
- Inclusive community golf events.
- Discounted or supported golfing activities.
- Accessible coaching opportunities.
- Golf buggy arrangements where available.
- Social gatherings and community activities.
- Information about relevant Stroke Play Golf opportunities.
Specific benefits depend on arrangements with participating venues, supporters and sponsors.
Membership does not guarantee unlimited golf, free participation, discounted fees at every venue or access to a buggy at every event.
Any membership or event charges will be clearly explained before members are asked to pay.
11. Privacy and Personal Information
Stroke Play Golf takes the privacy and security of its members seriously.
We collect and use personal information to administer membership, manage event registrations, communicate about membership and organise activities.
Members' information is held within our Microsoft 365 membership system, SPG365, with access restricted to authorised personnel.
Where health or accessibility information is required, we will seek only the information reasonably necessary for the relevant purpose and apply appropriate additional safeguards.
We will not require members to disclose detailed medical histories simply to join the community.
Our handling of personal information is explained in our Privacy Notice:
https://strokeplaygolf.org/privacy/
Members can contact us about their personal information using the details below.
12. Communications and Marketing Consent
Stroke Play Golf may contact members about essential membership administration, bookings, event arrangements and matters relating to their participation.
Members may choose their preferred contact method where practical.
Promotional communications are separate from necessary membership administration.
Agreeing to these Membership Terms & Conditions does not constitute agreement to receive marketing.
Marketing preferences will be recorded separately, and members may withdraw their marketing consent at any time.
Choosing not to receive marketing will not prevent someone from applying for membership or participating in eligible Stroke Play Golf activities.
13. Photography and Media
Photographs and videos may be taken at Stroke Play Golf activities for community records and, where appropriate, publicity.
We recognise that members may have personal reasons for not wishing to appear in photographs or promotional material.
Members will be given appropriate information and choices about identifiable photography intended for publicity.
Accepting these terms does not automatically grant permission for a member's image to be used for promotional purposes.
Members should contact an organiser if they have concerns about photography or filming.
14. Misuse of Membership and Suspension
Stroke Play Golf reserves the right to investigate suspected misuse of SPG365 membership or serious breaches of these terms.
Examples may include:
- Sharing or transferring membership benefits without authorisation.
- Deliberately misusing subsidised event bookings.
- Providing knowingly false information to obtain benefits.
- Harassment, discrimination or serious misconduct.
- Repeated deliberate disregard of event safety instructions.
Where concerns arise, Stroke Play Golf will consider the circumstances fairly and proportionately.
Members will normally be given an explanation of the concern and an opportunity to respond before a suspension or termination decision is made.
Immediate protective action may be necessary where there is a serious safety concern.
A member may request a review of a decision by contacting Stroke Play Golf.
15. Ending Membership
Members may request to end their membership by contacting:
We may need to retain limited records where necessary for legal, safeguarding, accounting or other legitimate purposes, in accordance with our Privacy Notice.
Ending membership does not automatically cancel existing paid event bookings or remove any applicable statutory rights.
16. Changes to Membership Terms
Stroke Play Golf may update these Terms & Conditions and Fair Use Policy as the community develops.
Any significant changes will be communicated clearly and, where appropriate, with reasonable advance notice.
Changes will not be applied in a way that removes members' statutory rights.
The latest version will be made available on the Stroke Play Golf website.
17. Questions, Concerns and Complaints
We want members to feel comfortable raising concerns, asking questions or suggesting improvements.
If you have any questions about your membership, accessibility, fair use, bookings or these terms, please contact us.
We will aim to address concerns fairly, sensitively and within a reasonable timeframe.
