1. Who we are
Stroke Play Golf is responsible for the personal information described in this notice. Stroke Play Golf Foundation is being established as a Foundation CIO in England. Privacy contact: andrew@strokeplaygolf.org. Our postal contact address will be added once confirmed.
2. Information we may collect
We may collect your name, email, mobile number, correspondence, event choices, attendance information, buggy requests, volunteer or partnership enquiries, and information you choose to provide about practical support or accessibility requirements. We may also collect technical website information through cookies or similar technologies where applicable.
3. Why we use information
We use personal information to respond to enquiries; administer registrations and attendance; communicate event information; arrange practical participation support; manage volunteers, supporters, clubs and business relationships; maintain appropriate records; protect activities; and, where separately agreed, send relevant updates or marketing.
4. Lawful basis
The lawful basis depends on the purpose. Depending on the circumstances, we may rely on consent, steps taken at your request, performance of an arrangement, legitimate interests in operating and developing Stroke Play Golf, or compliance with a legal obligation. We will keep this assessment under review.
5. Accessibility and health-related information
Information about accessibility, mobility, communication or support needs may reveal health or disability information and can be special-category personal data. We ask only for information reasonably useful for participation. You do not need to provide detailed medical information. Where we rely on explicit consent, we will ask for it separately and clearly. Consent can be withdrawn for future processing by contacting us.
6. Sharing information
We limit access to people who need information for the relevant purpose. Where necessary to arrange an event or requested support, information may be shared with authorised organisers, volunteers, coaches, host venues or service providers. We will not disclose special-category information to an independent third party on the basis of consent unless the relevant consent permits it or another lawful condition applies.
7. Online service providers
Where we use Microsoft Forms or other online services, information is processed using those providers' systems. We will configure access and sharing appropriately and review the privacy and security arrangements of services we use.
Messages sent through the contact form on this website are delivered to us by Web3Forms, an online form service, and arrive in our email inbox.
8. Retention
We keep personal information only for as long as reasonably necessary for the purpose collected and any legitimate legal, safeguarding, insurance, accounting or reporting requirements. Accessibility or health-related information should not be retained longer than needed without a documented reason.
9. Security
We take reasonable organisational and technical steps to protect personal information, including limiting access to those who need it. No online system can be guaranteed completely secure.
10. Your rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase or restrict information, object to certain processing, receive certain information in a portable form, and withdraw consent where relied upon. Contact andrew@strokeplaygolf.org.
11. Complaints
Please contact us first if you have a privacy concern. You also have the right to complain to the UK Information Commissioner's Office (ICO).
12. Marketing
Event registration is not automatic consent to unrelated marketing. Where consent is required for electronic marketing, we will seek it separately and provide a way to unsubscribe.
13. Changes
We may update this notice as Stroke Play Golf develops. The latest version will be published on the website.
